Privacy policy
What we do with your information when you use this site, message us, or order.
Who we are
Pinpoint Golf sells golf ball markers direct to customers in the UK. This policy explains what we do with your personal information when you use this website, send us a message, or place an order.
For the purposes of UK data protection law, Pinpoint Golf is the data controller for that information. You can reach us at the email address at the bottom of this page, and we are the right people to contact about anything in this policy.
What we collect, and when
If you use the contact form
Your name, your email address, the subject you pick from the list, and whatever you write in the message. The form is operated by Formspree, which receives the message and forwards it to us. Formspree also records the time of submission and technical details such as your IP address in order to filter spam.
If you email us
Your email address, your name if you give it, and the contents of your message, along with anything you go on to send during that conversation.
If you place an order
The delivery name and address, the contact details you order with, and a record of what you ordered and when. Orders are arranged by email — this website has no checkout, so we never take card details through it.
If you message us on Instagram
That conversation is held on Instagram, under Meta’s own privacy policy rather than this one. We can see your Instagram username and whatever you send us.
Automatically, when you visit the site
This site sets no cookies of its own. There is no Google Analytics, no advertising pixel and no tracking. Our hosting provider keeps standard server logs, which include IP addresses, for security and to keep the site running. If you submit the contact form, Formspree receives that submission and may use cookies or similar technology on its own systems to prevent abuse.
Why we use it, and our lawful basis
Under UK GDPR we have to have a lawful basis for using your information. Ours are:
- To answer your enquiry — legitimate interests. If you contact us, it is reasonable that we use your details to reply.
- To take, fulfil and deliver your order — performance of a contract with you.
- To keep records of sales — legal obligation, where tax and accounting rules require it.
- To keep the website secure and free of spam — legitimate interests.
We do not send marketing emails and we do not build any kind of customer profile. If that ever changes we will ask for your consent first, and you will be able to withdraw it at any time.
Who else sees it
We do not sell your information, and we do not share it for anyone else’s marketing. It is shared only with the services we need in order to run the business:
- Netlify — hosts this website.
- Formspree — receives messages sent through the contact form and forwards them to us by email.
- Our email provider — carries messages to and from our contact address.
- A delivery carrier — receives the delivery name and address so your order can reach you.
- Meta / Instagram — only if you choose to message us there.
If in future we take payment through a payment provider, that provider will process your payment details directly and we will update this policy to name it.
We may also disclose information where the law requires it.
Information leaving the UK
Netlify and Formspree are both United States companies, so this website is hosted in the United States and a message sent through the contact form is processed there before it reaches us.
Where personal information is transferred outside the UK it is protected by the safeguards UK data protection law requires — normally an adequacy decision or the International Data Transfer Agreement or equivalent standard contractual clauses. Both providers publish their own terms covering these transfers.
If we start using any other provider based outside the UK, we will make sure the same safeguards are in place and update this policy.
How long we keep it
- Contact form messages — kept in our Formspree account for up to 12 months, then deleted.
- Enquiries that do not lead to an order — kept in our email for up to 12 months after we last hear from you, then deleted.
- Order records — kept for 6 years from the end of the relevant accounting period, because tax and accounting rules require it.
- Server logs — kept for a short period by our hosting provider, under their own retention terms.
If you would like something deleted sooner, ask us and we will unless we are legally required to keep it.
Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct anything that is wrong;
- ask us to delete it, where we do not have to keep it;
- ask us to restrict how we use it, or object to us using it;
- ask for it in a portable format, where it was given to us for a contract or with your consent;
- withdraw consent at any time, where we relied on consent.
To exercise any of these, email us at the address at the bottom of this page. We will respond within one month, and there is no charge.
If you are not happy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113. We would rather you came to us first so we can try to put it right.
Keeping it safe
This website is served over an encrypted connection. Access to enquiries and order records is limited to the people who need it to run the business. No system is completely secure, but if a breach affected your rights we would tell you, and the ICO, as the law requires.
Children
This site is not aimed at children and we do not knowingly collect information from anyone under 16. If you believe a child has given us their details, contact us and we will delete them.
Changes to this policy
If we change this policy we will update the date at the bottom of the page. If the change is significant we will say so clearly on the site.
